Sales Administrator

The Sales Administrator provides critical support to the Sales and Account Management teams by coordinating customer orders, documentation, and communication within a fast-paced Tier 1 automotive manufacturing environment. Acting as a key liaison between customers and internal departments, this role helps ensure accurate order processing, timely responses, and the successful execution of customer requirements.

Qualifications
- Post‑secondary education in Business or Office Administration, Sales or Marketing or equivalent experience.
- Minimum 2 years of automotive manufacturing experience in sales support, administration, and customer service.
Job Responsibilities
Sales Order & Contract Administration
- Process and maintain customer sales orders in the ERP system with a high degree of accuracy.
- Review customer purchase orders to ensure alignment with quoted pricing, commercial terms, and authorized approvals.
- Manage order confirmations, amendments, and cancellations in accordance with internal controls.
- Maintain accurate and complete records of quotes, RFQs, pricing approvals, customer agreements, and correspondence.
- Ensure documentation complies with document control and retention requirements.
Pricing & Commercial Support
- Maintain customer pricing records, price lists, and approved pricing conditions, ensuring updates are accurately reflected in ERP and communicated to relevant stakeholders.
- Support piece-price changes, annual price adjustments, and surcharge administration.
Customer Communication & Support
- Serve as the primary administrative contact for assigned customer accounts, maintaining professional, timely, and documented communication with OEMs and customer representatives.
- Respond to customer inquiries related to orders, pricing, documentation, and order status.
Administrative & Office Support
- Provide administrative support to the VP Sales.
- Coordinate meetings, travel, customer visits, and events.
- Manage correspondence in German and English.
- Welcome customers, suppliers, and business partners.
- Support onboarding activities and general office operations.
- Collaborate with international sales teams.
- Support continuous improvement of sales administration processes and documentation.
Health, Safety & Wellness
- Prioritize safety and comply with the Health and Safety Management System.
- Support risk reduction, hazard identification, and continuous improvement efforts.
- Ensure compliance with health, safety, and wellness legislation and KSR standards.
- Uphold and adhere to the KSR Code of Ethics and Professional Conduct.
Environmental
- Promote the global Environmental Management System with a focus on footprint reduction, recycling, and resource efficiency.
- Ensure compliance with environmental legislation and KSR standards.
