We are looking for a dedicated, bright, and motivated Legal Assistant who has experience in assisting litigation lawyers (e.g., assisting/handling with/of electronically and paper filings with Swiss courts, handling/management of exhibits – with a dedicated software – assistance with deadline management, etc.). This role would suit an experienced Legal Assistant, Paralegal, Jurist, Clerk or equivalent. The successful candidate will be based in our Geneva office, working in French and English as part of a cross-office and cross-departmental team. LEGAL ASSISTANT / FILING SPECIALIST (GENEVA)
Responsibilities will include:
- Supporting electronic and paper filing of submissions with Swiss courts and/or arbitration tribunals, including document formatting, cite checking, preparation of electronic and hard-copy documents, and translation work, exhibit management.
- Supporting hearing preparations.
- Assisting lawyers with document and exhibit management, deadline management, procedural requirements and case preparation.
- Handling administrative and organisational tasks and providing general administrative support to lawyers, including managing calendars, scheduling meetings, making travel arrangements, filing expense reports, and handling incoming and outgoing correspondence.
- Drafting and proofreading of correspondence and legal documents in French and English.
- Managing the administration of client files, including physical and electronic filing and archiving.
What we are looking for:
- Proven experience in assisting disputes lawyers (experience in filing of legal submissions, especially in Swiss courts.
- Excellent accuracy and a keen eye for detail.
- Good organisational skills, and an ability to prioritise.
- Responsive, pro-active, with a strong ownership of tasks and responsibilities; able to work independently as well as part of a team.
- Adaptability and flexibility in a fast-paced environment.
- Tech savvy and/or interested in learning new IT/software tools.
- Experience in providing administrative support and managing multiple tasks.
Ideally you will have 3 years’ experience gained a similar role, as a Legal Assistant, Paralegal or equivalent. You will be fluent in English and French, and having business-level German would be a real advantage. You must be a confident and expert IT user, especially with Microsoft Office. Experience in using Exhibit Manager is a plus.
