Job Description
Accountable for the flawless execution of Glycerin and Biodiesel shipments, as well as the planning of the external supplies. The domestic Execution Specialist is semi-autonomous in the decision making process within his/her decision rights and has good command of all aspects of execution in a given field.
Main Responsibilities:
- Timely release of the product to and disposition with the customers/suppliers.
- Full understanding of the commercial contracts assigned as well as related form-contracts (oilmill conditions).
- Fully understands the service to be contracted during the execution of contracts such as surveyors, customs authorities or transporters.
- Proactively resolves issues as they arise and escalates to managers, as needed.
- Manages the nomination process with shippers on a timely fashion to ensure full compliance with contractual deadlines.
- Appoint third parties (supervision, agent, insurance) to monitor loading/discharging operations as needed.
- Follow up on daily operations to ensure cargo is loaded as per contractual obligations (weight, quality, quantity, packing, other contractual rules, etc) to ensure smooth operations.
- Ensure conformity of document instructions from buyers.
- Ensure that documents received in the process match LDC’s contractual obligations.
- Issue loading papers/wagon lists and prepare customs documents if required.
- Maintains timely and accurate updates to the front system, as well as detailed and accurate filing documentation to ensure supporting documentation is available.
- Manage the Payment Cycle:
- Allocate loaded quantities to the stocks.
- Prepare invoices / Check payment and follow up on accounts receivable to ensure LDC is fully in line.
- Reviews and approves incoming invoices for payment. Elevate issues to trader or execution manager if discrepancies are identified.
- Ensures strict adherence with LDC policies and legal requirements:
- Ensure full compliance with LDC’s internal policies and legal requirements, as well as with the Group’s Code of Conduct.
- Follow up on vessel insurance and/or discharge/import formalities when applicable to ensure all administrative formalities are processed on time.
- Ensure complete customer and country documentation requirements are properly documented & filed.
- Contribute to projects and continuously strive at improving the current way of working.
Warehouse Coordinator: (If Applicable)
Ensure all contracts, templates, and internal procedures (tax, legal, treasury) are properly approved and followed, and that warehouses and local services (insurance, surveyors, agents) meet all operational and insurance requirements. Coordinate and resolve issues related to customs clearance, insurance, and warehouse conditions, while acting as the primary contact for traders on logistics and trade matters, providing timely feedback and information. Be the first escalation point for quality or other contractual issues, aiming at settling issues at his level with the help of his manager whenever achievable.
Qualifications
- 2+ years experience in a similar function.
- First experience in international trades (preferably in the agricultural industry) with exposure to international contract terms (GAFTA, FOSFA, HaFu II, Grofor, Einheitsbedingungen) preferred.
- Knowledge of international payment instruments, current banking & trade practices and Incoterms 2010.
- Fluent spoken and written English preferred.
