We are a vibrant, fast‑growing tech company, and we are looking for an enthusiastic, organized, and proactive Office & Internal Events Manager to be the heartbeat of our Zurich office. Our team is spread across key global hubs: Paris, Lyon (our Headquarter), Zurich, Krakow, and the US. Responsibilities
Office Management & Reception
Front‑of‑House:
Welcome and register visitors, ensure they are comfortable, and guide them to their meetings. Daily Operations:
Keep the reception, cafeteria, and communal office areas tidy, professional, and fully stocked (supplies, food, and beverages). Communication Hub:
Act as the first point of contact for office‑related questions. Answer the main phone line for both our Zurich and Berlin offices in Swiss German, German, and English. Logistics & Admin:
Handle incoming mail (scanning, distribution, archiving) for both offices, manage deliveries, organize couriers, and handle visitor/employee keys. Executive Support:
Assist Zurich‑based directors with occasional ad‑hoc requests and travel organization. Internal Events & Team Support
Event Planning:
Organize internal and external meetings, workshops, team‑building activities, seminars, and company off‑sites (including scheduling, venue booking, catering, and reminders). Travel Coordination:
Help coordinate travel logistics, occasionally utilizing tools like TravelPerk to assist candidates, customers, and team members. Onboarding & Culture:
Edit and order business cards for new starters, prepare employee anniversary cards, and gather signatures for time‑sensitive documents. Required Skills
3–4 years of experience in a similar office management and internal event role. Languages:
Native‑level Swiss German, German and professional fluency in English required (both written and spoken). Communication:
Strong interpersonal skills with the ability to interact confidently with stakeholders at all levels of the organization. Organization:
Highly organized, rigorous, and able to prioritize tasks calmly in a fast‑paced environment. Tech Literacy:
Comfortable learning and using modern digital tools. Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets) is required. Nice‑to‑Have
Experience in the tech industry or a high‑growth environment. Fluency in Spanish. Familiarity with tools like Canva, TravelPerk, Spendesk, or NetSuite. Benefits
