About the Role
We are looking for an Administrative & Operations Specialist (Europe) to support the daily operations and business development activities of our European team.
This role will be responsible for European office administration, business operation coordination, sales support, basic finance process coordination, and communication with external service providers.
The ideal candidate should have strong organizational skills, execution capability, and a sense of responsibility.
The candidate should be able to handle multiple tasks independently in a fast-growing international environment and support the continuous development of our European business.
Key Responsibilities
- Office Administration
- Manage daily administrative activities for the European office.
- Coordinate office-related matters, including office facilities, suppliers, and external service providers.
- Manage company documents, records, and administrative files.
- Support business travel arrangements, including flights, hotels, visas, and meeting coordination.
- Manage office supplies procurement and general administrative purchasing.
- Provide administrative support to the European management team and sales team.
- Finance Process Coordination
- Support daily finance-related activities of the European company, including supplier payment coordination and banking-related processes.
- Review employee expense claims and follow up on reimbursement procedures.
- Support sales invoice issuance and accounts receivable follow-up.
- Assist with supplier account management and payment status tracking.
- Communicate with external accounting firms and tax advisors, providing required documents and information.
- Support the preparation of monthly and annual financial-related documents.
- Maintain accurate and complete financial records and documentation.
Note: Accounting, tax filing, payroll processing, and statutory financial reporting will be handled by external professional service providers.
- Business Operations Support
- Coordinate overseas warehouse-related activities, including communication with third-party warehouse providers, inventory status tracking, inbound/outbound arrangements, and inventory information maintenance.
- Coordinate with logistics providers, warehouse partners, and internal teams to ensure smooth product delivery processes.
- Support the European sales team with order execution, logistics coordination, and delivery follow-up.
- Maintain business data in ERP, CRM, and Microsoft 365 systems.
- Support the establishment and optimization of European business operation processes.
- Perform other operational support tasks assigned by management.
- HR & Team Support
- Support employee onboarding and offboarding procedures.
- Maintain employee records and HR-related documentation.
- Assist with recruitment coordination, including interview scheduling and candidate communication.
- Support employee benefits, insurance, and other HR administration activities.
- Coordinate with external HR and payroll service providers when required.
Requirements
- Bachelor's degree or above in Business Administration, Finance, Accounting, or related fields.
- 1–3 years of experience in administration, operations support, office management, or related positions.
- Experience working in an international company or multicultural environment is preferred.
- Basic understanding of finance processes, including invoice management, payment procedures, and expense management.
- Strong organizational and coordination skills with the ability to manage multiple priorities.
- Detail-oriented, responsible, and proactive in identifying and solving problems.
- Good communication skills and ability to work effectively within a team.
Skills
- Native proficiency in Mandarin and fluency in English and German, both written and spoken, are required.
- Good command of Microsoft Office, especially Excel.
- Experience with ERP, CRM, or business management systems is preferred.
- Ability to work independently and take ownership of assigned responsibilities.
