Office Manager (m/f/d) at MWAY:
- You are the first point of contact for our employees and customers and thus the central contact person for a wide range of tasks.
- You are in charge of the reception and the phone switchboard, coordinate appointments and take over common assistance tasks (e-mails, mail, etc.).
- You are responsible for administrative and organizational tasks such as ordering office supplies and catering, managing resources, travel management and travel expense accounting as well as communication with various external service providers.
- You will review incoming invoices from our suppliers and service providers and submit them to the accounting department via electronic process.
- Support with invoicing and order confirmation are also part of your activities as well as data maintenance in our CRM systems.
- You will also assist with workshop and event planning , including catering for our guests, and will be responsible for coordinating as well as preparing and following up on our meeting rooms.
- You keep track of upcoming appointments and organize the daily office routine with professionalism and attention to detail, taking into account changing priorities.
- As an intersection between management, (inside) sales manager and customers , you also support in order and receivables management and in the preparation of invoices and order confirmations.
Your Skillset
- You have completed a commercial apprenticeship (e.g. office management) or an apprenticeship in the hotel industry or event management and have relevant work experience in an assistant position or a service-oriented area.
- You have a pronounced hands-on mentality and are a solution finder.
- You have the ability to grasp things quickly, have organizational skills and can set priorities correctly.
- You are familiar with MS Office and your natural curiosity allows you to immerse yourself in new topics and tasks with pleasure.
- Especially your warm, friendly and approachable nature lets the team and our guests know that you are Office Manager:in with passion.
- Very good communication skills in German and English, both written and spoken.
