Job Responsibilities:
- Ensure the office is a pleasant and safe place to work:
- Maintain cleanliness and proper functioning of office equipment.
- Manage noise levels during office hours.
- Assist and supervise service providers on-site.
- Support employees with their needs.
- Ensure all employees and visitors have a workspace and manage seating plan changes.
- Welcome new employees, provide office tours, and explain safety and security measures.
- Manage office alarm codes for new and departing employees.
- Provide support during emergencies, fire drills, or security issues.
- Plan and organize company events, ensuring their success and timely closure of invoices.
- Handle expense submissions for the executive committee.
- Coordinate the preparation of business cards and order validation stamps.
- Bind and laminate documents as needed.
- Receive and manage items for external archiving.
- Track office management invoices for international offices.
- Assist with various projects, including finding new providers and implementing new procedures.
- Manage relationships with the landlord, property management, and subtenants.
- Handle confidential information with discretion.
- Liaise with the building Facilities Manager for cleaning, maintenance, and reception services.
- Manage and negotiate office management contracts and handle warranties for multiple office locations.
- Cover and assist the reception as needed.
- Ensure the Events Committee remains active in organizing after-work activities.
Education, Skills, and Experience:
- High school diploma or equivalent required; college degree a plus.
- Minimum 5 years of experience as an Office Manager.
- Experience in hospitality is a plus.
Technical Skills:
- Fluency in French and English.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
Other Skills:
- Excellent communication skills at all levels with a strong team spirit and dynamic personality.
- Strong organizational and time management skills.
- Detail-oriented with a can-do attitude and problem-solving skills.
