- As a Site Team Assistant, you are the central organizational interface of our site team. You support project management with administrative tasks, keep day-to-day operations running smoothly through efficient process management, and make a significant contribution to the successful execution of our construction project
- Administrative Project Coordination & Documentation
Information Management
- Prepare and create documents, graphics, and presentations for project briefings and meetings.
Reporting
- Take meeting minutes and assist in maintaining site diaries, including recording construction progress, weather conditions, workforce numbers, and any notable incidents.
Process Support
- Proactively track open action items from meetings and prepare documents for signature approval.
Scheduling & Organization
Travel Management
- Plan, book, and process expense claims for domestic and international business travel.
Appointment Coordination
- Coordinate internal and external meetings and maintain oversight of calendars.
Event Support
- Provide organizational support for workshops, seminars, and kick-off meetings.
Visitor Management
- Register visitors, conduct safety inductions, and issue personal protective equipment (PPE).
Administrative Assistance & Communication
- Act as the point of contact for internal and external stakeholders and handle incoming inquiries.
Office Administration
- Manage incoming and outgoing mail, prioritize tasks, and maintain an organized filing system.
Data Management & Reporting
- Create statistics and charts and maintain project-related databases and records.
Qualifications
- Successfully completed a degree in Project Management, Business Administration, International Business, or a similar field, or hold a comparable commercial/business qualification.
Experience
- Previous experience in an administrative, assistant, or coordination role, ideally within a project environment.
Technical Expertise
- Proficient in Microsoft Office and experienced in facilitating hybrid meetings or remote communication via Microsoft Teams.
Language Skills
- Fluent in German and English, both written and spoken.
