Job Description


Nevada State University invites applications for the position of Administrative Assistant 3 - Office of the Associate Dean of Students. The Administrative Assistant 3 will provide high-level administrative, operational, and fiscal support to the areas supported by the Associate Dean of Students, including the Office of Student Life, Career Services Center, Office of Student Conduct, and University Housing. This position coordinates office operations, communications, meetings, travel, purchasing, financial processes, events, and special projects while serving as a liaison with internal and external stakeholders and supporting division priorities.

Primary Responsibilities


Fiscal Responsibilities



  • Serve as the Business Liaison for areas supported by the Associate Dean of Students.

  • Support budget monitoring to help track expenses, process purchase orders, contracts, reconcile purchases and serve as point of contact to vendors as necessary.

  • Prepare and monitor all accounting paperwork (spend authorizations and travel reimbursements, accounts payable, purchasing, etc.) for Associate Dean of Student accounts including general operating, in and out of state travel, host, as well as specialized accounts.

  • Communicate with the NS Business Office to solve accounts payable, travel, and purchasing problems. Contact UNLV Business Center South as required. Attend meetings or training when required.

  • Reconcile accounts each month, and provide updates and/or reports to the Associate Dean of Students.

  • Assist with departmental and events purchasing requests for areas supported by the Associate Dean of Students (as requested).

  • Procurement card holder, verify and reconcile Purchase Card transactions for areas supported by the Associate Dean of Students.


Office Management and Administration



  • Maintain ADOS calendars and coordinate meetings (as requested).

  • Provide event support such as space reservation, set-up/breakdown, participant check-in and more as required for events supported by the ADOS.

  • Create (as needed), update and maintain office materials such as forms, handouts/worksheets, website pages and social media accounts.

  • Coordinate and schedule meetings as well as support communication and outreach with other departments, community partners, and employer partners.

  • Meeting and Report Preparation: Prepare and organize relevant background information and conduct research, relying on a variety of source material, to prepare Associate Dean of Students for meetings and compose administrative reports and/or financial records.

  • Support departments in posting open full-time and student worker positions and support onboarding processes as requested.

  • Serve as a primary point of contact for the Student Affairs vehicle process.


Student Engagement Platform Management



  • Serve as a backup support for the student engagement platform utilized by Student Life per Student Life coordinator directive.

  • Collect data on departmental utilization and various student engagement/development metrics and support data analysis as requested.


Required Qualifications



  • Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant 2 in Nevada State service; OR an equivalent combination of education and experience as described above.

  • Eligibility to work in the United States without sponsorship (Nevada State does not sponsor employment-related visas).

Preferred Qualifications



  • Experience providing advanced administrative support in a higher education, public sector, or similarly complex environment.

  • Experience coordinating purchasing, travel, budget tracking, contracts, or other business operations.

  • Experience planning meetings, events, or special projects involving multiple stakeholders.

  • Experience interpreting and applying policies, procedures, and administrative guidelines.

  • Proficiency with Microsoft Office Suite, Workday, and related administrative systems.

  • Demonstrated ability to manage multiple priorities, maintain confidentiality, and work independently.

  • Strong organizational, interpersonal, written, and verbal communication skills.


Salary & Benefits


Budgeted salary for this position is $46,207.44. Nevada State University offers excellent benefits, including a generous vacation & sick benefits, 12 paid holidays, educational benefits, a choice between three health insurance plans that can be supplemented with flexible spending accounts or health savings accounts, and an excellent pension retirement plan through the Public Employees’ Retirement System of Nevada. The plan requires employees to withhold 19.25% of the budgeted salary toward retirement with an equal employer match of 19.25%. No relocation assistance is provided for this position.


The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm.
