We are adding a Project Management Associate to the team to help us manage a set of technical projects for our partner, a Berlin-based organization focused on logistics and fleet operations. This role is about keeping our internal tasks organized and making sure our developers have the information they need to finish work on time. You will be the person who tracks what is done, what is stuck, and what needs to be shown to the client in our next demo. This is a fully remote position where you will work alongside a small team of engineers to turn complex requirements into clear, manageable tasks.
About Pixel Systems
Pixel Systems is a small, remote software agency that builds the tools teams actually use to run their businesses. We do not do flashy consumer apps or marketing sites. Instead, we focus on the practical stuff: admin panels, CRM integrations, and the database migrations that people usually try to avoid. Our clients come to us when they need to replace a sprawling spreadsheet with a real database or get their different software tools to finally talk to one another.
We believe that working code is better than a perfect plan that never ships. Our approach is straightforward. We provide fixed quotes before we start, we do weekly demos, and we hand over everything: the code, the documentation, and even walkthrough videos when we are finished. We use reliable, well-tested technologies like Node, React, and Postgres because we want the software we build to be stable and easy to maintain. We are a team of experienced developers and designers who prefer solving real operational headaches over chasing the latest trends.
The Role
In this role, you will be the bridge between the technical team and the project requirements. You will spend your day making sure the project board reflects reality and that the documentation stays up to date. Since we are a remote company, clear written records are the only way we stay on track. You will help prepare for our weekly client demos by gathering the latest updates from the developers and ensuring the presentation materials are ready. You will also help with basic testing to make sure the features we built actually match what the client asked for.
- Update and maintain project boards to ensure every task has a clear status and owner.
- Attend internal meetings to take notes and document decisions made by the engineering team.
- Help draft weekly progress reports for our partner in Berlin to keep them informed.
- Organize project documentation so that developers can find API keys, requirements, and design files easily.
- Coordinate with the team to identify blockers that might prevent a task from being completed.
- Assist with the final review of work to check for obvious bugs or missing requirements before a demo.
- Keep a calendar of project milestones and reminders for upcoming deadlines.
What we are looking for
This is an entry-level position. We do not expect you to have years of experience managing software teams, but we do need you to be incredibly organized and comfortable working with technical people. You should be someone who enjoys making lists and feels a sense of satisfaction when a project stays on schedule. Because we are remote, you need to be a strong writer who can explain things clearly in a chat message or a short document.
- A high level of organization and a habit of double-checking your work.
- The ability to talk to developers about technical topics without feeling intimidated.
- Clear, concise writing skills for emails, reports, and task descriptions.
- A preference for practical results over abstract planning.
- A reliable work ethic and the ability to manage your own time in a remote setting.
- Comfort with using browser-based tools and basic software applications.
- The curiosity to learn how software is built from the ground up.
Helpful background
While not strictly required, it would be helpful if you have some familiarity with the following tools or concepts. If you have managed a project for a school club, a volunteer group, or a small business, that counts as relevant experience for us.
- Basic familiarity with GitHub or other task-tracking tools.
- A general understanding of what an API is or how a database works.
- Experience using Google Docs, Sheets, or similar document software for professional tasks.
- Any experience in a role that required coordinating between different groups of people.
- Knowledge of what makes a good user interface or a simple workflow.
- Interest in how logistics or operations businesses use technology to solve problems.
Working at Pixel Systems
We are a small, flat team. There are no layers of middle management here. You will work directly with the people building the software. We value honesty and directness. If a project is running behind, we talk about it early and find a way to fix it. This is a fully remote role, giving you the flexibility to work from wherever you are most productive. We offer a competitive salary that is attractive for an entry-level role in today's market, and we make sure our team has the equipment they need to do their jobs well. We ship work that helps real people, like warehouse managers and operations teams, do their jobs with less frustration.
We take pride in being the agency that fixes things. We are not interested in drama or corporate politics. We just want to build good software, get it into the hands of our clients, and make sure it stays running. If you are looking for a place where you can learn how technical projects are managed in the real world without the fluff, you will fit in well here.
