Description PromptCare is seeking a highly motivated and detail-oriented Intake Coordinator to join our team. The successful candidate will be responsible for processing inbound orders from our referral sources and requests for assistance from our patients through a variety of mediums, including inbound and outbound client calls, faxes, and e‑mails. The successful candidate must become proficient in the use of our enterprise system to enable the accurate processing of new patient orders and re–orders for existing patients. Job Type Full‑time, 40 hours per week, hybrid schedule, Mon‑Fri 8:30am‑5:00pm
Location New Providence, NJ
Reports to Departmental Lead, Supervisor or Manager
Requirements
A college education (associate or bachelor's degree) is preferred, but we will consider strong relevant experience in lieu of a college degree
Must have strong PC skills, especially the MS Office suite
Previous experience with Brightree or CPR+ software is a major advantage (training will be provided)
Previous experience with patient admissions and customer service in a similar referral source‑based practice setting is strongly preferred
Previous experience working with hospitals, physicians, case managers, and sales team is preferred
Job Responsibilities
Provide our clients with timely and accurate information and take appropriate corrective actions regarding our services to ensure customer’s complete satisfaction
Obtain patient referral admission data and document initial information
Notify appropriate staff of all pending referrals and patient admissions and maintain communication between referral, sales, dispatch, and other departments as needed
Enter new patient information into the order processing system
Generate a referral log every day and forward to appropriate staff
Perform insurance verification and obtain prior authorizations for patient onboarding
When additional information is needed for authorization, directly contact sales, case manager, physician, and patient until all data is collected and the authorization process is complete
Perform cost analyses for new referrals and communicate information to Sales and dietician if required
Process telephone calls and triage problems in accordance with company standards and verbal/written training policies
Assure deliveries are scheduled to meet patient needs and company guidelines for cost‑effectiveness
Follow proper procedures for accurate and timely documentation of referral source or patient concerns, and take appropriate corrective actions
Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and listen. Requires the ability to lift files, open filing cabinets and bend or stand as necessary. This position requires the ability to occasionally lift office products and supplies of 20 pounds but no more than 35 pounds.
