About The Job

As our HR Operations & Payroll Specialist for Germany, Austria & Poland, you will ensure reliable, compliant, and high-quality HR operations and payroll delivery across multiple markets. Acting as a hands‑on operational expert, you will support local HR teams with day‑to‑day execution, resolve complex HR operational topics, and provide cross‑country backup to ensure continuity and accuracy in payroll delivery.

This role is based in Warsaw, Poland, reporting to the HR Manager GAS & East Europe, with a dotted line to the HR Manager East Europe.

You will work closely with HR Specialists, external payroll providers, and cross‑country stakeholders, contributing to a consistent, efficient, and compliant HR service model. Your role will be critical in maintaining payroll accuracy, strong employee experience, and adherence to local labour laws in a multi‑country environment.

Key Responsibilities

  • Payroll Support
    • Prepare, validate, and reconcile payroll input in collaboration with external payroll providers in Germany and Austria.
    • Perform HR‑payroll consistency checks and support timely resolution of payroll issues.
    • Act as payroll backup for Germany and Austria to ensure accurate and on‑time payroll delivery.
    • Identify opportunities to improve payroll processes and increase efficiency.
  • HR Operations (End‑to‑End)
    • Support HR administrative processes across the full employee lifecycle (hire to exit) for Germany, Austria and Poland.
    • Maintain accurate employee data in Workday and digital personnel files.
    • Manage HR operational requests through the shared HR ticketing system.
    • Ensure compliance with documentation standards and support audits and internal controls.
    • Coordinate invoices, contracts, and collaboration with HR vendors.
    • Contribute to HR process standardization, simplification, and cross‑country initiatives.

About You

  • Proven experience in payroll and HR operations within a multi‑country environment.
  • Strong understanding of HR administration, payroll processes, and local labour law.
  • Experience working with Workday, HR systems, and external payroll providers.
  • High attention to detail, accountability, and ability to work independently.
  • Strong collaboration and stakeholder management skills across multiple countries.
  • Fluent in German and English. Good command of Polish is a plus.

Additional Information

This is a hybrid position based either in Warsaw, Poland or Offenbach, Germany. You will be expected to be in the office three days per week, though time in office may vary depending on business needs.

The expected starting salary range for this role is PLN 96,000 – 127,900 gross per year (Warsaw) – starting EUR 52,300 gross per year (Offenbach). The amount an employee will earn within the salary range will be based on factors such as relevant education, qualifications, performance, and our needs. Salary ranges may vary by location and currency. Where roles are advertised across multiple locations, local ranges will apply.
