External vacancy notice – Grade 6, fixed‑term contract for two years (with possibility of extension). This role is Divisional Coordinator in the Council and Trade Negotiations Committee Division. Responsibilities
Coordinate and supervise the secretarial team, including training, mentoring, evaluation and recruitment. Perform a full range of administrative and secretarial duties, maintain, develop and implement office procedures and adapt them to changing needs. Liaise with Secretariat staff, senior management and with Chairpersons and senior officials of delegations (Ministers, Ambassadors) regarding the work of the Division; coordinate and monitor document processing and provide editorial assistance. Maintain staff records, handle basic personnel issues, follow up on HR‑related matters and keep absence/leave records; serve as focal point for hiring interns and short‑term staff and publishing vacancy announcements on the HR platform. Assist in administering and monitoring the divisional budget, support the Director in budget planning, track and report financial commitments and monitor the travel budget, creating requests and administering claims via Mobilexpense. Assist with outreach activities, manage events and large functions organized by the Division. Provide general administrative support to divisional staff, receive telephone calls and visitors, prioritise and schedule appointments for the Director. Monitor and update all information on divisional activities and perform any other administrative duties assigned by the Director, including agenda preparation and file management. Convene, organise and service bilateral, plurilateral and multilateral meetings and consultations; handle correspondence, sensitive memoranda and other documents. Assist in the preparation of meetings for the bodies and processes serviced by the Division, provide administrative support, coordinate document dissemination, draft correspondence, respond to queries and provide support to interpreters. Qualifications
Completion of secondary school and/or secretarial or commercial school equivalent; specialised training in the secretarial field or proven secretarial expertise. Technical knowledge of administrative and secretarial processes, documentation and meeting servicing; ability to prioritise, plan and organise; strong multi‑tasking skills. Proficient in Microsoft Office and other IT tools for secretarial support; drafting skills for standard correspondence and notes. Strong attention to detail and proof‑reading ability for voluminous documents. Knowledge of administrative and financial rules and procedures, preferably in an international organisation setting. Behavioural skills: clear communication, collaboration, tact, discretion, ability to work under pressure, build relationships, supervise a team and work independently. At least eight years of administrative and secretarial experience, with at least five years in an international organisation or mission; experience with Missions, delegations or WTO Members is desirable. Excellent written and spoken English; good working knowledge of French or Spanish is a distinct advantage. Organisational Competencies
