Description

• Own UX Research vendor engagements from intake through SOW creation, contract execution, purchase order issuance, and invoicing.
• Coordinate UX researchers, vendors, contract teams, approvers, and leadership around actions and deadlines.
• Drive progress across multiple active engagements and create urgency when dependencies arise.
• Monitor project status, identify risks and blockers, escape issues, and follow through on resolutions.
• Provide clear written updates on project status, progress, risks, and blockers.
• Maintain KPI and SLA tracking, project documentation, vendor resources, process materials, and centralized information sources.
• Identify process friction and implement improvements to increase intake-to-contract efficiency and throughput.
• Advise UX Research stakeholders on vendor engagement and procurement compliance policies.
• Participate in internal practice meetings, networking, thought leadership, case studies, and learning-material development.

Requirements

• 4+ years of experience in project coordination, project or program management, procurement, vendor management, or operations, with end-to-end workstream ownership.
• Experience managing multiple concurrent projects or cases across cross-functional teams and external partners.
• Ability to manage a portfolio of active projects with minimal supervision.
• Experience providing regular written status updates to managers and stakeholders.
• Experience using AI tools to improve productivity and scale project-management workflows while maintaining quality.
• Strong written and verbal communication skills with peers, cross-functional stakeholders, and senior management.
• Independent judgment and effective decision-making in ambiguous situations.
• Strong organization and attention to detail while managing high volumes of concurrent work.
• Bachelor’s degree required.
• Project or program management training or certification such as PMP or CAPM preferred; procurement, contracting, vendor management, workflow-system, or UX research operations experience also preferred.
• Must be eligible for direct W2 employment without sponsorship and available to work in U.S. CST or PST time zones.
