Establishment Assistant
Your main mission will be:
Human Resources Mission:
- Ensure the application of the Company's HR directives and procedures - Complete management of personnel files, approximately 300 employees - Be the HR support for our employees and supervisory staff - Establishment of employment contracts and amendments - Processing requests for family allowances and maternity/paternity benefits - Processing and monitoring of illness and accident claims - Processing and monitoring of work permits - Processing and monitoring of holiday planning - Processing and monitoring of HR dashboards - AVS announcements - Entry of fixed and variable data necessary for payroll preparation - Monthly checks before payroll closures - Drafting all documents related to personnel - Contribute to the smooth flow of information within the company and comply with administrative procedures
Administrative and Economic Mission:
- Physical and telephone reception of the Establishment - Reception, sorting, distribution and scanning of mail - Ensure orders of supplies for the Establishment - Enter and account for validated supplier invoices in the ERP - Manage and monitor the Establishment's petty cash - Enter, account for and pay expense claims in accordance with the schedule
Commercial Mission:
- Create, manage and update client files administratively - Create, manage and monitor client contracts in the ERP - Ensure and guarantee that billing information is available within the required deadlines - Enter data necessary for billing - Guarantee control and monitoring of billing in accordance with the schedule - Ensure monitoring and updating of dashboards - Follow up and archive quality controls - Provide support to the Accounting Department regarding client reminders and management of unpaid invoices.
Profile:
- Proven HR experience in a similar position of at least 3 years in Switzerland - Knowledge of Swiss German is an asset - Knowledge in the cleaning sector is an asset - Commercial Federal VET Diploma or equivalent qualification - Very good command of MS Office, especially Word, Excel and Outlook - Service-oriented and autonomous to successfully carry out the various assigned tasks - Good management of priorities and stress
