Your Role

We are looking for a highly organized and motivated Administrative Coordinator to support the Global TN&H Regulatory Affairs team and contribute to the successful execution of the Sympliance transformation project.

This is a part-time position (35 hours per week) offered on a fixed-term contract for 12 months. The role provides the opportunity to work at the intersection of Regulatory Affairs, data governance, compliance systems, and digital transformation, while supporting global stakeholders and strategic initiatives across the organization.

Project Support

  • Coordinate project-related activities, meetings, workshops, and follow-up actions.
  • Track project milestones, action items, and deliverables to support timely project execution.
  • Prepare presentations, meeting agendas, minutes, status reports, and project documentation.
  • Support user surveys, process-mapping initiatives, and requirement-gathering activities.
  • Contribute to testing, validation, and documentation activities within the Sympliance project.
  • Maintain project documentation and ensure records remain accurate and up to date.
  • Support project managers and stakeholders with administrative and organizational tasks.

Regulatory Data & Process Support

  • Support regulatory data management and data quality initiatives.
  • Assist in maintaining and organizing regulatory information in internal systems and databases.
  • Contribute to process harmonization and continuous improvement activities within Regulatory Affairs.
  • Support the preparation of reports, dashboards, and project updates.
  • Ensure compliance with internal documentation standards and established processes.

Organization & Communication

  • Act as a reliable point of contact for administrative and organizational project support.
  • Coordinate information exchange between project stakeholders across different regions and functions.
  • Ensure timely documentation and follow-up of agreed actions and decisions.
  • Organize meetings, workshops, training sessions, and stakeholder discussions.
  • Facilitate effective communication and collaboration within international and cross-functional teams.
  • Support calendar coordination, travel arrangements, and other administrative activities as required.

About You

  • Commercial or administrative training, bachelor's degree, or equivalent professional experience
  • Minimum 3 years of experience in an administrative, coordination, project support, or similar role.
  • Experience in a regulatory, scientific, technical, compliance, or data-driven environment is preferred.
  • Proficiency in Microsoft Office applications, particularly Excel, PowerPoint, Word, Outlook, and Teams.
  • Experience with document management systems and collaboration platforms such as SharePoint, IMS, or similar tools.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills in English; German or additional languages are a plus.
  • Strong attention to detail and a structured, analytical approach to work.
  • Ability to collaborate effectively with stakeholders across different regions and functions.
  • High level of discretion, reliability, and service orientation.
  • Interest in data management, process optimization, digital solutions, and business transformation initiatives.
  • Proactive, solution-oriented mindset and ability to work independently as well as within a team.
