Tactical Tech is looking for a committed individual with at least 5 years experience to come on board as the Finance Manager. They would be responsible for financial data entry and supporting the Chief Operations Officer and HR, cross-checking direct costs and FTE allocations. The Finance Manager is responsible for bank liaison, money transfers, and ensuring that all payment requests are made according to internal policies and external compliance, ensuring written authorisation before payments are made and reconciling payments with bank statements.

The Finance Manager will hold a key role within the Organisational Team supporting the project teams with the finalisation of the project plan budgets in alignment with project deliverables, as well as preparing financial project reports and funding proposals. The position requires a high level of discretion owed to the exposure to sensitive organisational information, such as salaries and grant information. The position requires a proven track record in finance with a strong overall understanding of financial transactions and accounting practices. The Finance Manager reports to the Chief Operations Officer.

Key responsibilities and tasks

  • Manage, maintain and administer daily bookkeeping in Quickbooks.
  • Bank transfers (internet banking), direct debits and standing orders for all accounts including cash book maintenance and first bank reconciliations.
  • Document, prepare and share complete and accurate supporting information for all financial transactions (folios and cash book maintenance) for the Berlin office.
  • Organise the organisation's finance function; administer petty cash, maintain adequate financial records, check travel and expense claims.
  • Work closely with the Finance & Administration Coordinator, applying a four-eye-principle on all transactions, ensuring the Delegation of Authority has been adhered to.
  • Assist project leads and other staff in preparing, balancing and ensuring that project budgets align with workplans and time-sheets.
  • Prepare project budgets for proposals and reporting; support Finance Director in organisational financial reporting and audit preparations.
  • Work with teams to prepare budgets for reporting to funders and for proposals.
  • Ensure that employees, consultants, contractors and service providers are paid in a timely and accurate manner.
  • Liaise with the bank and support compliance in relation to third party and other service contracts.
  • Maintain an up-to-date cash flow projection based upon disbursements in grant agreements.
  • Prepare invoices for trainings and materials, including follow up and reconciliations as needed by the projects.
  • Support the Finance Director with the annual audit and the Grant and Development Manager with project audits.
  • Contribute to the maintenance of the Operations Handbook.
  • Support with any other task needed in the Organisational team.

Required skills:

  • Excellent bookkeeping and accounting skills with strong attention to detail and accuracy.
  • Excellent communication skills, fluent written and spoken English. German an asset.
  • Very good understanding of legal and compliance issues related to Stichting regulations.
  • Very good understanding of the public administration in Germany and substantial experience with public grant management.
  • Very good understanding of different reporting formats and budgets.
  • Over 5 years experience in finances and reporting in a comparable organisation, preferably in a medium-sized international NGO.
  • Ability to contribute to a team and work independently.
  • Ability to allocate costs independently, identify issues early and provide good suggestions for alternatives.
  • Experience in supporting grant audits.
  • Ability to get input from staff without line management responsibilities.
  • Self-starter; able to work with limited supervision and to pro-actively seek information and solutions.
  • Demonstrable commitment to Tactical Tech's mission and values including an understanding of the geopolitical contexts in which Tactical Tech's work is carried out.

  • A limited X month contract. We hope to extend this position, depending on available funds, organisational needs and performance.
  • Salary varies with experience, our range for this role is from X EUR - X EUR.
  • Annual leave entitlement of 25 days and an additional end of the year break.
  • Flexible work arrangements - core hours, home office and possibility of occasional remote work after probation.
  • An attractive place to work in the center of Berlin, our office is in Rosenthaler Platz and next year we will relocate to the new Publix - House of Journalism in Neukölln!
