Description
Position Summary We are seeking a highly organized and proactive Associate Project Manager to support project resource planning and allocation across multiple portfolios.
This role serves as a critical link between Business Analysts, Resource Management, Engineering teams, Advisors, and external partners to ensure approved projects are appropriately staffed and scheduled for successful execution.
The ideal candidate is detail-oriented, analytical, and an exceptional communicator who can effectively coordinate across teams, interpret resource data, and proactively identify staffing needs and constraints.
This is an internal-facing role focused on workforce planning, project readiness, and resource optimization.
Key Responsibilities
- Resource Planning & Allocation
- Support resource planning activities for approved projects following intake and requirements discovery.
- Review project staffing requirements and resource estimates provided by Business Analysts and project teams.
- Analyze resource capacity and availability using Service Now and other planning tools.
- Generate and maintain resource allocation reports to support planning decisions.
- Partner with Resource Management, Advisors, Directors, and Engineering leaders to determine project staffing timelines and resource availability.
- Coordinate the scheduling of project resources and help ensure projects are appropriately staffed before execution begins.
- Stakeholder Coordination
- Act as a liaison between Business Analysts, Advisor teams, Engineering teams, Resource Management, and project stakeholders.
- Facilitate discussions regarding resource availability, project priorities, and staffing requirements.
- Communicate upcoming resource needs, allocation changes, and project timelines to relevant stakeholder groups.
- Build strong relationships across portfolios to understand short-term and long-term staffing demands.
- Workforce Transition Management
- Support ongoing efforts to transition work from external consulting resources to internal engineering teams.
- Monitor resource assignments and identify opportunities to replace external resources with internal talent as capacity becomes available.
- Track project allocations, timelines, and resource transitions to support workforce planning initiatives.
- Coordinate with internal teams and external partners regarding resource roll-off and onboarding activities.
- Reporting & Analysis
- Run and analyze Service Now reports related to demand, capacity, and resource allocations.
- Provide resource forecasts and allocation insights to Advisor and Director groups.
- Maintain visibility into upcoming project demand and staffing requirements.
- Identify potential resource gaps, conflicts, and capacity challenges and elevate as needed.
- Ensure resource planning data remains accurate and current.
- Operational Support
- Track projects from demand approval through resource assignment and project execution readiness.
- Monitor project demand records and staffing requests within Service Now.
- Support continuous improvement of resource planning and allocation processes.
- Maintain detailed documentation of allocations, staffing assumptions, and resource plans.
- Required Qualifications
- Bachelor's degree in Business, Information Technology, Project Management, or a related field, or equivalent experience.
- 3+ years of experience in project coordination, project management, resource planning, workforce management, or related operational functions.
- Experience working with project management or IT delivery teams.
- Strong proficiency with Microsoft Excel and reporting tools.
- Experience analyzing data and translating findings into actionable recommendations.
- Experience working with Service Now.
- Excellent verbal and written communication skills.
- Preferred Qualifications
- Exposure to project portfolio management, resource management, or capacity planning.
- Experience supporting technology, engineering, or software development organizations.
- Familiarity with consulting resource models and workforce transition initiatives.
- Understanding of project lifecycle processes from intake through execution.

They will be comfortable working with data, leading conversations around resource availability, and helping ensure projects are staffed efficiently and effectively.

Pay and Benefits
The pay range for this position is $40.00 - $50.00/hr.
