The Senior Medical Administrator provides dedicated administrative and operational support to the Internal Medicine Team. The role ensures the smooth coordination of physician schedules, client appointments, medical documentation and day-to-day administrative processes. /p /brpThe position requires a high level of organisation, accuracy, confidentiality, flexibility and a service-oriented approach in a dynamic clinical environment. /p /brh3Your Responsibilities /h3 /brpPhysician, Appointment Administrative Coordination /p /brul /brliManage and continuously monitor Internal Medicine physicians' calendars and client appointments, coordinate external medical appointments and examinations, follow up on related medical reports and results, and accompany clients where required. /li /brliAdd, cancel and reschedule appointments as required, ensuring appropriate preparation and administrative time for physicians. /li /brliIdentify scheduling conflicts, double bookings, urgent matters and other coordination needs, and ensure timely resolution. /li /brliPrepare for daily team huddles by reviewing appointments, client requests and outstanding actions, and coordinate agreed next steps. /li /brliCoordinate administrative requests from Internal Medicine physicians, including external international doctor calls, Programme Managers, Client Relations and external providers. /li /brliAct as the central administrative coordination point between the Internal Medicine Team and relevant internal and external stakeholders. /li /brliEnsure clear, timely communication and appropriate follow-through on scheduling, client and administrative matters. /li /br /ul /brMedical Documentation Discharge Reports /brul /brliCoordinate the preparation and completion of discharge reports and other medical documentation for the respective pillar. /li /brliFollow up with the relevant doctors regarding missing information. /li /brliCheck documents for administrative completeness, consistency and formatting. /li /brliPrepare and organise documentation for secure distribution and filing. /li /brliEnsure relevant documentation is correctly stored in E-PAT including accurate filing/documentation and following the agreed processes. /li /brliPrepare and translate medical preadmission documents with DeepL as per SOP for internal purposes. /li /br /ul /brGeneral Team Support /brul /brliProvide day-to-day administrative support to the Internal Medicine Team. Assist with urgent or last-minute requests while maintaining overall priorities. /li /brliManage the Internal Medicine Doctors monthly expense administration. /li /brliCritical: Monitor team absences and vacation planning on a monthly basis in Personio. Flag any periods of insufficient team coverage to the CMO and coordinate necessary adjustments. Support operational continuity during planned and unplanned absences. /li /brliSupport the onboarding process of new team members of Internal Medicine including the Induction Week Support for HR. /li /brliPrepare and organise the weekly Internal Medicine Team and Doctors' Meetings, including agendas, materials and meeting minutes / follow-up actions. /li /brliProvide mutual cross-coverage during team members’ absences across the other medical pillars (BIO-R and Psychiatry) to ensure operational continuity.br/ /li /br /ul /brh3You are/have /h3 /brul /brliCompleted medical education (e.g., MPA, Pflegefachperson HF, or equivalent). /li /brli2-5 years' experience in medical administration, coordination, or operational support. /li /brliStrong administrative, organizational, and attention-to-detail skills. /li /brliFluency in German (C1) and English (spoken and written); additional languages are a plus. /li /brliProficiency in MS Office, Teams, SharePoint, and E-PAT. /li /brliWillingness to work on Saturdays and operate therapeutic devices. /li /brliProfessional, discreet, and reliable, with the ability to handle confidential information. /li /brliEligible to work in Switzerland. /li /br /ul /brh3What we offer /h3 /brpThis role provides a unique opportunity to be part of an international, high-end environment where service excellence and professionalism are at the heart of everything we do.
