We are recruiting on behalf of our client for an experienced Office Coordinator to support the day-to-day operation of their Munich office. This is a varied and hands-on role where you will help create a professional, welcoming and well-organised environment for employees, visitors and internal teams.
The position is offered on an initial six-month contract and requires regular onsite attendance in Munich.
What You Will Be Doing
As Office Coordinator, you will take responsibility for a broad range of office, team and administrative activities, including:
- Coordinating the daily operation of the Munich office.
- Welcoming visitors and managing visitor access procedures.
- Handling incoming and outgoing post, parcels, couriers and deliveries.
- Ordering office supplies, refreshments and other workplace essentials.
- Coordinating external suppliers, contractors and service providers.
- Arranging meeting rooms, catering and practical support for meetings and office events.
- Tracking signatures, certificates and official documentation.
- Liaising with authorities, insurance providers and external organisations when required.
- Supporting fleet, vehicle and insurance administration.
- Maintaining accurate office records, files and documentation.
- Assisting with workplace health and safety activities.
- Supporting employee onboarding and offboarding.
- Assisting with the implementation of office and HR policies and procedures.
- Providing general administrative support to managers, teams and the HR function.
Requirements

The successful candidate will ideally have:
- Previous experience in office coordination, office management, team assistance, administration or a similar role.
- Strong organisational and coordination skills.
- A proactive and practical approach to problem-solving.
- Excellent communication and interpersonal skills.
- A professional, friendly and service-focused manner.
- The ability to prioritise tasks and manage competing deadlines.
- Strong attention to detail.
- The ability to handle confidential information with discretion.
- Good working knowledge of Microsoft Outlook, Word, Excel and PowerPoint.
- Fluent written and spoken German.
- Good written and spoken English
