The overall purpose and objective of this position is to contribute to the work of the company’s legal department in a broad range of day-to-day legal work.

This role requires a high level of organizational skill, attention to detail, and the ability to handle multiple tasks and coordinate with various departments and external entities under the supervision of the General Counsel or the Manager of the Legal Department. The main responsibilities include the following:

  1. Assistance to the General Counsel (follow up on department progress and objective achievement, assistance with meetings preparation, assist with cases and projects planning, help to prepare key presentations)
  2. Secretarial and administrative work for the Legal Department (correspondence, filing, meeting arrangements, travel arrangements)
  3. Administrative litigations follow up (budget, status of the case, invoices, follow up with lawyer, circularization with auditors)
  4. Organizing and archiving the documents related to completed and ongoing cases
  5. Update and maintain contract templates, Data Room for key legal documentation, maintain Contract Data Base, legal document securing
  6. Drafts and analyses of simple legal documents (NDA, dismissal letters, answers to day-to-day simple legal questions, etc.)
  7. Ad hoc legal queries from the legal team to conduct legal research (case law, bibliography, academic materials), or retrieve internal information needed for legal case management
  8. Help in the development of Legal Training materials (mainly for internal functions), arrange for training sessions
  9. Structure and preserve internal legal knowledge built over cases
  10. Monitoring and update on jurisprudence developments
  11. Stations administration (Network/Set-up or closing/Legal representative-lawyers, PoA, mandates, Legalizations, Apostilles)
  12. Follow up/signature of legal documents

Essential Requirements For The Position:

  1. Bachelor’s degree in the legal field
  2. Previous experience either in a law firm or the legal department of a company
  3. Basic legal knowledge in civil law, commercial law, corporate law, and social law
  4. Proven experience as an administrative assistant
  5. Ability to work with a high degree of autonomy
  6. Excellent attention to detail, time management skills, and ability to prioritize work
  7. Ability to successfully communicate with all levels of management, stakeholders, vendors, and customers
  8. Ability to prioritize multiple tasks with competing deadlines
  9. Highly developed written and oral communication skills, with emphasis on negotiating and drafting commercial agreements and attention to detail
  10. Fluency in written and spoken English; other languages are considered a plus
  11. Advanced knowledge of MS Office (Word, Excel, PowerPoint, and Outlook)

Working Conditions:

  1. A Certificate of good conduct (Casier judiciaire, Polizeiliches Führungszeugnis) will be required in case of positive selection
  2. Full-time, permanent position based in Luxembourg
  3. The internal title and contract for this role will be ‚Officer Legal Affairs.‘
