Position Summary

Bentley\’s Facilities department is seeking an experienced Facilities Administrator to support our EMEA region, reporting directly to the EMEA Facilities Manager. The Facilities Administrator will oversee the Munich office, ensuring smooth operations. Responsibilities include addressing daily facilities issues, purchasing office supplies/equipment via Bentley’s purchasing systems, managing office access for visitors, and maintaining common areas. Additionally, this role will collaborate closely with the Regional Manager to support various facilities and administrative tasks across EMEA.

Your Day-to-Day:

  • Meeting and greeting users and colleagues
  • Overseeing general office operations, including access control system management, vendor, landlord, and contractor liaison, finance duties such as invoicing, PRs/POs, management of meeting rooms, first aid/fire warden training, and risk registers
  • Managing incoming post and courier services
  • Ordering supplies such as stationery and amenities
  • Distributing fleet car documentation, including service messages, fuel cards, insurance, and fines
  • Representing facilities for other EMEA offices lacking local facilities staff
  • Sitting on the social committee
