Job Description As a member of the
Client Documentation Team , the
Client Documentation Specialist
plays a key role in ensuring:
A smooth end‑to‑end document process flow across the bank’s departments, especially in cases of changes in circumstances
The quality, coherence, and accuracy of client data across the bank’s systems
The relevance and validity of client instructions by performing signature control
Efficient and responsive support to other bank departments and branches
Responsibilities
Day‑to‑Day Operations
Review client‑provided documentation for changes in circumstances or account closures, ensuring compliance with local and international regulations (e.g., CDB20, CRS, FATCA/QI) and internal directives and procedures
Formal checks: correct document versions, all mandatory fields completed, required signatures present
Consistency checks: alignment of data across IDs, corporate documents and bank forms
Verify that data entered by Wealth Management Teams in the bank’s systems is complete and consistent with the signed documentation
Perform four‑eyes checks and periodic internal controls to ensure procedural adherence and control quality
Provide high‑quality service to Wealth Management Teams by delivering clear, accurate feedback on errors or missing documents and responding promptly and professionally to queries related to your scope
Coordination & Stakeholder Management
Act as a bridge between the Client Documentation Team and key stakeholders (Legal, Compliance, IT, Wealth Management), maintaining an efficient and consistent communication flow
Serve as a business partner by contributing expertise and practical guidance on complex client documentation cases, implementation of new regulations or internal decisions, departmental or bank‑wide projects impacting documentation processes
Coordinate cross‑functional efforts to streamline processes and continuously seek improvements
Foster a collaborative environment built on trust, open communication and cohesive team effort; facilitate problem solving across Teams
Requirements
Relevant work experience in a similar role in the finance industry is required
Proficiency with Microsoft tools, particularly Excel
Excellent English skills required; German, Italian, French, or another additional language is a strong plus
Client‑service mindset, intellectual curiosity, and excellent interpersonal skills
Due to the responsibilities of the role, remote/home office work is unfortunately not possible. Start: asap. Location: Zurich.
