This position is located in the Talent Development Team (TDT), Human Resources Management Service (HRMS), Division for Management (DM), United Nations Office at Vienna (UNOV)/United Nations Office on Drugs and Crime (UNODC). The incumbent will work under the overall guidance of the Human Resources Officer (Learning and Development), leading the Talent Development Team, and the direct supervision of the Associate Management and Programme Analyst. Responsibilities

Within assigned authority, the incumbent will provide assistance to TDT/HRMS with regard to activities strengthening the implementation of UN Secretariat organizational initiatives, enhancing the development of learning solutions based on programmatic needs analysis and provide assistance with other training and learning activities as required. The incumbent will perform the following specific duties:

  1. Assist in the administration of the Language Programme and TDT learning activities including supporting client communication, processing contracts and payments, administration of communication channels, development of programme support documents and any other related tasks.
  2. Provide administrative support to the TDT and the Language Programme concerning financial matters related to expenses, revenues and payments. Gather enrolment information and prepare statistical reports.
  3. Provide administrative support to ensure the timely and accurate processing of non-staff personnel and payments to vendors as related to the implementation of the Organizational learning priorities.
  4. Monitor timelines, ensure timely responses, and take any required follow-up actions.
  5. Assist in the preparation of written outputs, briefing notes, concept notes, agendas, project proposals and progress reports.
  6. Draft various targeted and user-friendly communications with key stakeholders, including emails, presentations, speaking notes, newsletter articles, and marketing materials.
  7. Assist with visualizations and updating information material such as web pages or brochures.
  8. Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, and planning.
  9. Perform any other tasks as required.

Education

High school diploma or equivalent is required.

Job – Specific Qualification

Work Experience

A minimum of three (3) years of progressively responsible experience in general office support, administrative services, human resources management or related area is required. The minimum years of relevant experience is reduced to one (1) for candidates who possess a first-level university degree or higher. Experience in using modern information and communications technology for the processing and management of data, including MS Office tools, in particular MS Word, Excel, SharePoint, and OneDrive is required. Work experience in human resources management, including supporting training activities is desirable. Work experience within the United Nations system or a similar international organization is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For this position, fluency in English is required. Knowledge of another official United Nations language is an advantage.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

This position is temporarily available for 3 months. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment. While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.
