1 Strategic Rationale and Context
The proposed role of HRBP & Business Specialist reflects an identified structural need at VSY GmbH. As part of the ongoing operational and organizational realignment, and in view of the current scope of responsibilities assigned to the Managing Director, the establishment of this role is considered a targeted structural measure to support alignment, continuity and operational focus.
Following the full restructuring of the leadership team in 2024 – including key hires in Finance, Supply Chain, Marketing, Regulatory and Quality – and the MD’s direct leadership of the core markets Germany, Spain and Turkey, the complexity and breadth of implementation tasks across regions and functions require structured internal support.
2 Organizational Framing: Staff Function (Stabsstelle)
This position will be formally established as a staff function (Stabsstelle) within the
MD’s office. This means:
• Not part of the line organization (no disciplinary or budget responsibility)
• Does not replace or override any existing managers or functions
• Operates exclusively on behalf of the MD, within clearly defined strategic boundaries
• Serves as a coordination, tracking and support interface, not as a decision-making authority.
3 Role Title Justification
The designated title for this position is HRBP & Business Specialist (MD Office). This title reflects the dual nature of the role as both a strategic support function and an execution-oriented coordination interface.
It signals the close operational proximity to the Managing Director without implying formal leadership or independent authority. The term “HRBP & Business Specialist” is widely recognized in international business environments for such roles.
4 Key Role Objectives
The HRBP & Business Specialist is a dedicated execution and coordination role embedded in the MD’s Office as a staff function. It exists to support the MD by:
• Structuring and following up on internal priorities
• Coordinating cross-functional implementation efforts
• Tracking task ownership and deadlines
• Acting as an operational liaison during periods of travel or high strategic load
5 Strategic Purpose of the Role
• Support execution: Ensure implementation of the MD’s priorities
• Stabilize coordination: Act as a structured interface across teams
• Free up MD bandwidth: Take over follow-up, preparation and internal structuring
• Enable accountability: Support transparency and follow-through
• Act under mandate: Never substitute MD authority, only extend it.
6 Core Responsibilities
6.1. Execution Monitoring & Coordination
• Attend internal meetings (Forecast Meetings, Planning, KPI) on behalf of the MD
• Track action points, deadlines, and progress across teams
• Structure and standardize internal follow-up logic
• Escalate delays or risks directly to the MD
6.2. Project & Policy Implementation
• Coordinate selected MD-driven initiatives (e.g. CRM, reporting standards, templates)
• Track implementation status across departments
• Enforce compliance with policies and process standards
• Maintain oversight of CRM discipline from a business perspective (not IT)
6.3. Internal Representation at HQ
• Represent the MD during travel periods and act as operational anchor
• Ensure no loss of continuity or misalignment at HQ
• Structure inbound communication and flag critical topics early
6.4. Delegation & Escalation Management
• Coordinate delegated items from the MD to team leads
• Track and document accountability chains
• Ensure escalation routines are respected and documented
6.5. Support in People-Related Topics (non-administrative)
• Assist with HR-sensitive discussions (e.g. team roles, coaching, conflicts)
• Act as neutral coordination partner in cross-team situations
• Support the MD in strategic HR decisions (without executing or managing HR tasks directly)
7. Qualifications
–Education: Master’s degree in Business, Economics, Health Sciences or equivalent
–Experience: 3–5 years in MedTech, Pharma, Consulting, or highcomplexity project roles
–Languages: Fluent German and English required
–Systems/Tools: Microsoft 365 (Teams, Excel, PowerPoint), CRM tools; SAP knowledge preferred
–Personality: Loyal, structured, reliable, culturally sensitive (DE/TR), solution-oriented
–Work Style: Hands-on, discreet, fast-thinking, implementation focused.
